Team members and roles

Invite teammates, assign roles, and control what each person can do.

Myra is a collaborative platform designed for teams. Our granular permission system ensures every person has exactly the access they need.

Inviting New Members

  1. Navigate to Settings → Team.
  2. Click Invite member.
  3. Enter their name and email.
  4. Select a Role or a custom permission preset. The Client preset keeps the person as a Member unless Admin is explicitly chosen.
  5. Team Assignment: Optionally assign them to a team (e.g., "Sales East"). This affects which inboxes and contacts they see by default.

If the invite email doesn't arrive

Corporate mail filters occasionally hold invite emails. Anyone who can send invites can also click Copy invite link next to the member in Settings → Team (or Business team). Myra generates the working password-setup URL on screen and copies it to your clipboard, so you can send it via SMS, WhatsApp, or read it out on a call. The link opens the same secure setup page, expires after 7 days, and never exposes a password.

Understanding User Roles

  • Owner: Total control, including billing and business-level settings.
  • Admin: Full access to features and team management. Can use View as User to preview other roles.
  • Manager: Can see all contacts and manage pipelines, but cannot change workspace-level settings.
  • Agent / Rep: Standard role. Can see/edit contacts assigned to them and manage their own calendar.
  • View-only: For stakeholders who need to see data without making changes.

Saved permissions vs. preset defaults

Every team member starts on the Client preset as their baseline: standard areas at edit, and the admin-only areas (Settings, Automations, Forms, Getting Started) hidden. A member with nothing saved gets exactly that preset — no more, no less, and they show a Default access chip in the team list.

Anything you change in the Permissions dialog is saved as an explicit grant for that person and always wins over the preset, in both directions: granting Settings to a Client-preset member makes Settings appear, and setting a feature to None removes it even if the preset grants it. Each feature is labelled Preset default or Custom for this member, and custom values have a Reset to preset link to hand the feature back to the baseline.

Custom Permissions Deep-Dive

Build custom presets in Settings → Team → Permission Presets.

  • Sales Pipeline: Move leads, manage stages, or restrict deletion.
  • Contacts: Control access to the Knowledge tab, Billing tab, and AI Assistant within the contact drawer.
  • AI Workforce: Permissions to configure or trigger AI agents.
  • Telephony: Access to the dialler, call recordings, and transcripts.
  • Branding & SMTP: Restrict who can change the business's visual identity or mail server.

View as User

Admins can use the View as picker in the top-right header. This allows you to instantly see the dashboard exactly as a specific team member sees it, verifying that their permissions are correctly configured.

Team Visibility & Data Privacy

  • Strict Privacy: Users only see contacts they own.
  • Team-wide: Users see contacts assigned to anyone in their team.
  • Global: All users see all contacts.

Auditing and Security

  • Audit Log: A chronological log of system actions (who viewed a contact, changed a stage, etc.).
  • 2FA: Owners can require Two-Factor Authentication for all team members.
  • Remember Me: The login page supports "Remember Me" for easier access on trusted devices, and clears old browser sessions safely if your login domain changes.

Offboarding

When a member leaves:

  1. Deactivate: Instantly revoke access.
  2. Reassignment Wizard: Reassign their open deals, contacts, and tasks to another member.
  3. Data Preservation: Historical messages and notes remain, attributed to the deactivated user.

FAQs

Does adding a team member cost more? Starter and Growth plans have user limits (5 and 15 per client). Scale plans offer unlimited seats.

Can I hide the Billing tab from reps? Yes, visibility of the Billing tab on contact records can be toggled in permission presets.

Notes permission

Notes on a lead/contact are controlled by their own permission: Settings → Team → Permissions → Workspace → Notes (view / edit). When set to "none" the Notes timeline is hidden on the contact record. Missing key defaults to edit for back-compat.

Archiving a client and team access

Archiving a client immediately removes its access for everyone: the workspace disappears from the switcher and no one can open it. Team members are kept on the archived client rather than being silently unlinked, so you can always see who used to have access, and un-archiving restores the whole team exactly as it was.

If you want someone's login gone for good, remove them from the team (or delete the client outright). Deleting a client also deletes the accounts of any members who no longer belong to any other workspace.
