Connect a mailbox, control who can use it, and know which one sent each email.

Email is the backbone of business communication. Myra provides a sophisticated email engine designed for high deliverability, seamless threading, and powerful automation.

How email is sent

Email is sent from your own mailbox. Each workspace connects its own transport - SMTP, Gmail (OAuth) or Microsoft / Outlook - and replies are routed back into the contact's unified timeline.

Which method sends your email

A workspace can have all three configured at once, and the order differs by send path:

  • Inbox / one-to-one messages: Gmail → Microsoft / Outlook → SMTP
  • Automation "Send email" steps: SMTP → Microsoft / Outlook → Gmail

So a workspace with both SMTP and Gmail connected will send manual replies through Gmail and automation emails through SMTP. Worth knowing when you are tracing which mailbox sent something.

Settings → Email shows which method is currently active for the inbox, and shows the connected Outlook account when Outlook email is enabled. Connecting, disconnecting and enabling the Outlook email capability all stay in Settings → Integrations.

Outlook sending goes over Microsoft Graph, so messages appear in that mailbox's Sent Items, and CC/BCC is supported.

Who can use a mailbox

Every mailbox — SMTP, Microsoft / Outlook, Gmail (OAuth) and any extra sending address — offers the same three choices in Settings → Email:

  1. Shared with the whole workspace (default) — anyone on the team can send from it and read its replies.
  2. Only me — private: nobody else can send from it or see the conversation.
  3. Specific people — pick the team members who may use it.

The setting controls both halves at once: who may send from the mailbox, and who can see the replies that come back to it. You can change it at any time after connecting, on every method.

When you compose a new email, the From selector lists only the mailboxes you are allowed to send from, pre-set to the one Myra would have chosen automatically.

One-to-One Emailing

Every contact in Myra has a unified communications timeline.

  • Unified Inbox: Inbound replies are automatically pulled into the CRM.
  • Threading: Intelligent headers keep conversations grouped together.
  • Signature: Set your professional HTML email signature in Settings → Profile.
  • Knowledge Tab: The AI can read/write to a contact's Knowledge tab to help draft more accurate, personalized replies.

Bulk Campaigns

  1. Segments: Filter your contacts (e.g., "All Leads from Source: Web").
  2. Email builder: Create beautiful, responsive emails using the drag-and-drop builder.
  3. Personalization: Use tokens like {{contact.first_name}} to make bulk sends feel personal.

Automated Workflows

Leverage the Automation builder:

  • Lead Nurture: Send a sequence of emails to every new contact.
  • Booking Confirmations: Automatically send calendar invites and "What to expect" PDFs.
  • Failed Calls: If a call fails, the system can automatically drop a note and send a follow-up email.

Deliverability & Best Practices

  • Use a Subdomain: Sending from mail.yourcompany.com protects your main domain's reputation.
  • Mobile First: Always preview your emails in "Mobile View" before sending.
  • Clean Lists: Regularly remove unengaged contacts to keep bounce rates low.

FAQs

Can I sync my existing Gmail or Outlook? Yes. In Settings → Integrations, you can connect via OAuth to see your existing folders and emails directly inside Myra.

What is the "Sender Identity"? This is the name and email address that appear in the "From" field. You can set a workspace default or allow each team member to send from their own name.

Multiple Sending Addresses

A workspace can send from more than one mailbox. You do not need to be a workspace admin — anyone granted the Settings permission can add their own sending address. (Changing the single account-wide address under Email via SMTP stays admin-only; non-admins see it read-only.)

  1. Go to Settings → Email → Sending addresses and choose Add address.
  2. Enter the email address, an optional display name and reply-to, and a Gmail/Google Workspace app password. The password is stored encrypted and never shown again.
  3. Choose who can see replies — this is required when you add the address:
    • Only me — replies land in your inbox alone; nobody else in the workspace can see the conversation.
    • Everyone in this workspace — a shared mailbox any team member can read and reply to.
    • Specific people — you, plus the people you tick. Only you can change this choice afterwards.
  4. Mark one address as the workspace default. It is used whenever nothing more specific applies.
  5. Use the send icon on any address to fire a test email and confirm it works.

In an automation's Send email step, a Send from selector lets you choose any enabled address, or keep the workspace default. If no additional addresses are configured, everything continues to use the workspace mailbox as before.

Whoever adds a sending address owns it. Only the owner can edit it, delete it, or give other people access — nobody can add themselves to someone else's mailbox. To share yours, open Edit on the address and tick people under Shared with.

In the Inbox, a Mailbox filter appears when additional sending addresses exist, letting you narrow to one of those addresses. Private Gmail, Outlook and SMTP conversations are not part of that filter - they are simply hidden from anyone who has not been given access to that mailbox.

The main workspace mailbox (Settings → Email → Email via SMTP) has the same Mailbox owner picker. Leave it as Shared with the whole workspace for a shared inbox, or pick a person to make that mailbox private to them.
